Job Description: Project Manager and Concierge
The Alazan community is looking for an individual or a couple to fulfill the job duties outlined below.
PRIMARY JOB RESPONSIBILITIES:
- Project Management
- Coordinate with HOA, BOD and Project Partners on Alazan operations and issues.
- Troubleshoot/assess problems on-site with water systems, power, or Alazan road systems (slides, washouts, erosion, surface maintenance, etc.) and coordinates any necessary repairs.
- Work with Comptroller and BOD on planning and controlling annual budgets and expenditures.
- Control keys and access to bodega and HOA equipment.
- Coordinate supply purchases as needed with Alazan Administrator. Monitor and confirm delivery of supplies and collect invoices.
- Contribute photos and text to Alazan Blog site regularly.
- Control/determine employee payments in coordination with, and approval of Alazan Comptroller.
- Coordinate, supervise and direct work of seasonal employees and approve hiring in coordination with BOD or Partners.
- Maintain communication with BOD and Partners by internet and cell phone (requires personal computer and cell phone contract).
- Participates in planning and organizing annual HOA meetings with the BOD and investing partners.
- Develop and maintain a productive and respectful relationship with the Alazan Administrator
- Security Management
- Monitor and conduct routine inspections of homes for vandalism or break-ins.
- Control keys and access to homes per each homeowner’s authorization.
- Report to BOD and local police any security breaches.
- Patrol grounds regularly to assess access point and homes status
- Coordinate with meadow house gate guard for site security and observations of trespass or permissible access.
- Provide weekly written or oral reports to BOD on property security status.
- Water System Manager
- Check water levels weekly in storage tanks both at the guard residence and the upper water storage area.
- Report low water levels or any other problems with the water system to the BOD or investing partners.
- Learn the function of the Alazan community water system and manually operate the system controller when necessary.
- Determine need for repairs and coordinate employees or contractors on repairs.
- Concierge
- Assist property owners by supplying or managing the delivery of goods and services to their homes and properties. A fee schedule for concierge services will be established and charged to users of these services. These fees will supplement the salary of the PM/concierge position.
- Coordinate house cleaning services and maintenance services as needed with homeowners (landscape maintenance, roof & gutter cleaning, laundry & interior cleaning as needed after rentals).
- Manage email communications from property owners.
- Assist vacation renters with accessing rented homes. Provide general information to renters about their accommodations, the Alazan property, and points of local interest. A fee schedule for concierge services to rental homes will be established and charged to owner of the rented home. These fees will supplement the salary of the concierge position.
- Manage email and online booking tools related to vacation home rentals.
- Ensure that a questionnaire of rental experience be completed when guests leave so that we get direct feedback on the lodging as well as concierge services.
- Assist homeowners with VRBO advertising on web.
- Oversee & Direct Employees
- Front Gatehouse Resident/Security Staff
- Controls access into Alazan at the gate security point
- Keeps a record of contractors, construction people, service providers and other non-property owners that enter Alazan
- Notifies Alazan PM when contractors, construction people, service providers and others enter Alazan. Gatehouse resident provides his own cell phone.
- Maintains the clean and neat appearance of the gate area, the residence, and the other entry features.
- Waters landscape plants as necessary around gatehouse and entry features.

- Coordinate the removal of a domestic trash from Alazan. Investigate trash hauling service, setting up a trash receiving area in Alazan, managing access to the trash receiving area, and maintaining the neat appearance of the area.
- Community Outreach and Ecological Endeavors
- Assist HOA, BOD and Partners with community relations and contact with the Parrita Municipality and other regional government agencies as needed.
SECONDARY JOB RESPONSIBILITIES:
- Build connections with other ecologically or restoration oriented organizations for conservation purposes, recycling, or other resource oriented needs.
- Coordinates municipal or permitting and regulatory issues with Alazan Administrator as needed.
- Assist in setting up Internet access within Alazan or maintaining existing systems.
- Help establish a recycling program for paper, metal, glass, and other recyclable materials. This will include establishing a location for recycled materials, locating a company that picks up materials, managing access to the recycling area, and maintaining a neat appearance of the area. Any income received for recycling materials will return to the HOA operating account.
- Help Alazan establish an organic waste-composting program.
- Develop opportunities to enhance wildlife benefits throughout Alazan property in coordination with other NGO’s or non-profit groups.
- Look for opportunities to develop reforestation projects on Alazan to re-establish native tropical forest.
Compensation
- Base Compensation: $500 per month
- Rent free new custom home provided by the HOA (Value = $100/month)
- Free internet access (Value = $20/month)
- Free electricity & water (Value = $80/month)
- Fees and tips collected from concierge services (paid by individual lot owners)
Required Job Skills
- Spanish-English fluency
- Ability to use computer: internet, work processing, email, EXCEL, blog posting, teleconferencing, etc
- General familiarity with project management: identifying work tasks, prioritizing work, supervising employees, supervising work, tracking project expenses and completion, trouble-shooting
- Good physical health: walking terrain, lifting/moving heavy objects, shoveling, etc

Minimum job requirements:

- Exercise managerial and supervisory authority in a manner that complies with Sunshine Retirement Living’s guidelines and applicable laws.
- Share responsibility with the Community Management team to respond to emergencies; evaluate resident’s needs, and take appropriate action.
