We are looking for a couple to become part of the Indiana Paradise Retreat family… please look us up at our website (see below).
There will be 3 rentable facilities, the main (lake) house with 11,000 sq. feet and 4 years of rental history, the gate house (under renovation) with 3,200 sq. feet, and the carriage house (under renovation) with 900 sq. feet. These facilities are located on 120 pristine, hilly, wooded acres. The M and M quarters is a 3,400 sq. foot house on 40 acres next door.
The Retreat is located in the forested hills of southern Indiana close to Bloomington and Indianapolis.
We are seeking a Management and Maintenance team to live on site and manage the property and guest arrival/ time on property/ departure. The Management and Maintenance team is the Retreat’s representative for all matters related to the safeguarding of the property and maximizing its utilization. The facility hosts families, groups of all sizes, and even businesses for the purposes of relaxation, reunions, weddings, retreats, and corporate meetings, to name a few.
The Organization will consist of the Owner and the M and M team. The M and M team is the Retreat’s representative for all on site matters. The M and M team safeguards the interests of the Retreat, while being receptive to and resolving the Guests concerns, all within the guidelines of the Rules and Regulations. The M and M team reports directly to the Owner …. A contract will be made between the Owner and the M and M team outlining in detail their duties and responsibilities. These duties are summarized below.
Office Management duties: title OFFICE MANAGER (OM)
- Maintain accurate records of clients and the Master Calendar.
- Coordinate the calendars of Air B and B, VRBO, and the IPR website.
- Assist with the owners’ recordkeeping to include correspondence and minor office work some of which is related to the Owner’s other business while travelling.
- Coordinate housekeeping and assist with housekeeping as necessary. Housekeeping is currently staffed with a Head of House and an assistant. At times, due to quick turns, there may be some assistance required of OM and PMM to make sure all of the check in requirements are completed to the Owner’s satisfaction and completed in a short time frame.
- Greeting, Check-in and check- out of guests.
- Perform walk thru with new guests to familiarize them with the amenities of the property and apprise them of the condition of the property.
- Perform walk-thru upon check out to ascertain that the property is left in an “as received” condition. Initiate claim with the rental company in case of damages.
- Tenant relations….assist with any concerns or questions. Apprise the tenants with information about the local amenities and “hot spots” if requested.
- Work with Owner to develop and implement marketing plans to increase occupancy of the Retreat. Social media skills are very important.
- Keep maintenance and work order records, to include coordination with outside contractors and /or utility companies for repairs as needed.
- Communication with the clients as to the Rules and Regulations of the Retreat and enforcement thereof. Assist with implementation of the “In-House” rules of the retreat. These “ In-_House” rules provide for the health and safety of the tenants and the property and the Owner’s interests.. They must be read, agreed to and signed/notarized prior to occupancy. OM will need to apply for and receive their Notary Public designation and seal.
- Other duties as assigned
OM will be conversant in typing, minor bookkeeping, filing, Word, Excel, and the rental programs of the rental agencies. OM will be highly organized and disciplined, as well as self- motivated, proactive, and follow directions as required.
Property Maintenance Duties: title PROPERTY MAINTENANCE MANAGER (PMM)
- Work closely with the Management Team (both Owner and Office Manager) to assure the overall Maintenance and habitability and “curb appeal” of the property.
- Work to improve on the existing level of maintenance
- Painting/caulking
- Mowing, trimming, landscaping, edging
- Minor electrical, plumbing, HVAC (major work is contracted, and the PM will oversee this work) construction capability/talent is a must.
- Pool and hot tub and sauna maintenance
- Well and septic maintenance
- Tractor/mower/loader/ maintenance
- Lake and dam maintenance
- Roof and downspout maintenance
- Culvert and road maintenance
- Snow removal
- Powered gate maintenance
- Pest control
PMM must be able to work outside for most of the day and juggle multiple tasks with varying degrees of priority. PMM will be highly organized and disciplined, as well as self- motivated, proactive, and follow directions as required.
PMM and OM will need to work Monday thru Friday. Saturday and Sunday may be required for check- ins or check- outs or emergency maintenance. Coordination with owner is required to make sure the property responsibilities are covered during periods of occupancy.
PMM and OM will be required to have personal transportation (car or truck) with insurance and valid drivers’ license.
Compensation Package
- Free Rent in house as above (part of the Retreat property) includes paid propane, water and sewer. Electricity, telephone, satellite TV, and internet will be paid by PMM and OM. (Rent is assumed to have a value of $800.00 per month)
- Combined salary of $40,000 to $60,000 (in addition to quarters as above) depending on level of experience and credentials.
Letters of reference and prior work experience required. (These will be confirmed)
